Why is collaboration important?
In today's interconnected world, where teamwork and collaboration are key to achieving success, it's vital to have a central platform where these activities can be managed smoothly.
In this brief guide, we'll explore various strategies for effective collaboration within your team using a centralized workspace on TextCortex. By ensuring all team members have easy access to necessary information and resources, you will ultimately reach an enhanced level of communication with colleagues and customers.
Organizations
Organizations streamline knowledge management within their teams through facilitated sharing of knowledge bases, agents and other important information.
You can create an organization and then add new members to it. In the "Members" section of your organization, you will have an overview of your team and each member's role and plan.
If you navigate to the Plan & Billing section of your organization and click on "Upgrade", you will be able to initiate a checkout. Essentially, you can select a plan for your team and the number of seats you wish to have. Once you have purchased your preferred plan, you will be able to click on "Manage seats" and assign it to each individual member of your organization. You can also assign a different plan to specific members!
Sharing Agents & Knowledge Bases
While you can easily share your agents and knowledge bases within your organization, it's even easier to share them by simply heading over to the dedicated section on our app, clicking on the three small dots next to your preferred agent or knowledge base and then clicking on "Share" to make sure your team can gain access!
Access Levels
There are four access levels available when sharing a resource: User, Viewer, Editor, and Admin.
Each grants different degrees of control.
"User" is the most limited access level, while "Admin" has the highest level of permissions.
- A User can only interact with the resource in its intended way, without the ability to see or modify its underlying structure or settings. For instance, if the resource is an agent, a User will be able to operate the agent but will not be able to access its background instructions, rules, or any attached knowledge bases.
- By contrast, a Viewer not only has permission to use the resource but can also see all of its details. In the case of an agent, Viewers can both interact with it and review its configuration and internal guidelines.
- An Editor gains additional privileges beyond those of a Viewer. Editors can use the resource, view its details, and make modifications to its contents. Using an agent as an example, Editors would have the ability to update prompt instructions and modify certain configurations associated with the agent.
- At the top level, an Admin has full control. Admins can use, view, and edit the resource, and, importantly, can also share it with others. Their level of access is equivalent to that of the resource's owner, giving them comprehensive oversight and the ability to manage permissions for others as well.
Sharing a conversation
If you'd like to simply share one of your chats with your Agent without going through the process of creating an organization, all you have to do is pick your desired conversation from your chat history, click on the three dots, then on "Share" and copy the link.
