Tenant Admin Documentation

Overview

This documentation provides a comprehensive guide for tenant administrators on managing organizational settings and features. Tenant admins can access additional administrative options by navigating to the My Organizations tab.

Our platform empowers tenant admins with full control and privacy, ensuring we can meet your organization's requirements with maximum flexibility.

Administrative Options

When hovering over the My Organizations tab, tenant admins will see the following options:

  • Agent Analytics
  • Tenant Settings
  • Audit Trail
  • Approval Requests

Tenant Settings

The Tenant Settings section contains six main configuration tabs:

1. Models

The Models tab displays all available models for your tenant.

Key Features:

  • View all models available to your organization
  • Enable newly released models as they become available
  • U.S. Hosted Models: Models with servers located in the U.S. are disabled by default for compliance and data residency reasons
    • Enable these models on-demand by toggling them on for your users
  • Image Generation Models: Scroll down to view and enable image generation capabilities
    • Same toggle functionality applies to image models

2. Approval Requests

Control resource sharing within your organization through the approval request system.

Key Features:

  • Approval System Toggle: When enabled, users must request admin approval before sharing any resources
  • Sharing Restrictions: Applies to:
    • Public sharing
    • Internal sharing with organization members (including colleagues)
  • Request Management: View and manage approval requests either:
    • Within this tab
    • From the standalone "Approval Requests" page in the sidebar

3. Front-end Customization

Personalize your tenant's visual appearance and branding.

Customization Options:

  • Logo: Upload custom organization logo
  • Theme Colors: Configure light and dark mode color schemes
    • Supports HEX color codes
    • Supports RGB color values
  • Icons: Update platform icons and FAB (Floating Action Button) icons

4. Feature Controls

Take complete control over your platform's capabilities with granular feature permissions. Feature Controls give you the flexibility to tailor the platform to your organization's specific security, compliance, and operational requirements.

Resource Permissions

Control exactly what your users can create, share, and access:

Allow File Uploads

  • Enable or disable user ability to upload files
  • Applies to resources and conversations
  • Ideal for organizations with strict data handling policies

Allow Resource Creation

  • Control whether users can create new templates, personas, and customizations
  • Manage creativity vs. standardization balance
  • Ensure consistency across your organization

Allow Resource Sharing

  • Govern resource sharing capabilities (public or with team members)
  • Prevent unauthorized distribution of sensitive materials

Allow Downloads

  • Control user ability to download files from the interface
  • Applies to resources and documents
  • Protect intellectual property and sensitive data

Allow External Network Access

  • Control whether agents can access external web resources
  • Includes search and web fetch capabilities
  • Manage information flow and data privacy

Benefits:

  • Simplify user interface by showing only relevant tools
  • Reduce cognitive load and improve user experience
  • Align available features with user roles and responsibilities

Miscellaneous Controls

In-App Onboarding

  • Toggle onboarding flows and tips inside the app
  • Useful for new user training or to streamline experience for advanced users

5. Agents and Compliance

Configure organizational AI agents and enforce compliance policies.

Featured Agents:

  • Default Agent: Set a default agent that greets users upon login
    • Example use case: Organization-wide company assistant that guides users to company policies

Agent Management Dashboard:

  • System Prompt Control: Configure system-wide instructions for all agents
  • Scope: Instructions apply to:
    • Agents created by admins
    • Agents created by users (including private agents)
    • All agents deployed within your tenant environment
  • Instruction Prefixing: System instructions are automatically prefixed to all agent instructions, regardless of sharing status
  • Compliance Use Cases:
    • Enforce internal policies and guidelines
    • Ensure regulatory compliance
    • Maintain organizational standards

Compliance Management:

  • Designate a compliance manager to oversee agent configurations and policies

6. Authentication and Access

Configure authentication methods, SSO, and knowledge base integrations for your organization.

Authentication Options

Social Sign-On:

  • Google authentication
  • Microsoft authentication

Single Sign-On (SSO):

  • Okta integration
  • Microsoft Entra (formerly Azure AD) integration
  • Custom SSO configurations

All authentication methods and integrations can be configured from this centralized location for convenient management.

Agent Analytics

Track and analyze AI agent usage across your organization.

Overview Dashboard

View comprehensive usage statistics for all agents deployed in your tenant.

Metrics Available:

  • Conversation Count: Total number of conversations per agent
  • Message Volume: Total messages exchanged through each agent
  • User Engagement: Number of unique users interacting with each agent
  • Agent Ownership: View which team member owns each agent

Advanced Analytics

Time-Based Analysis:

  • Daily Reports: Track day-to-day usage patterns
  • Weekly Reports: Monitor weekly trends and engagement
  • Monthly Reports: Analyze long-term adoption and performance
  • Custom Periods: Select specific date ranges for targeted analysis

Use Cases:

  • Track business use case performance
  • Align agent usage with internal goals and KPIs
  • Each agent can represent a specific use case for granular tracking
  • Make data-driven decisions about agent deployment and optimization

Audit Trail

Monitor and review all tenant-level administrative activities.

What is Logged

The Audit Trail provides a comprehensive record of:

  • Configuration Changes: Tenant-level settings modifications
  • Approval Decisions: Approved or rejected sharing requests
  • Analytics Access: History of who accessed analytics data
  • All Tenant-Relevant Actions: Any administrative activity within your environment

Audit Information

For each logged action, you can view:

  • Who: Which user or admin performed the action
  • What: The specific action taken
  • Where: Location or context where the action occurred
  • When: Timestamp of the action
  • Details: Additional information about the action

Use Cases:

  • Security auditing and compliance
  • Troubleshooting configuration issues
  • User activity monitoring
  • Maintaining accountability

Approval Requests

Manage and review all resource sharing requests from your users.

Approval Dashboard

View and process requests for sharing resources within and outside your organization.

Information Displayed:

  • Resource Details: Which specific resource is being shared
  • Recipient Information: To whom the resource is being shared
  • Requester Information: Who is requesting approval
  • Request Context: Additional details about the sharing request

Approval Actions

Options:

  • Approve: Grant permission to share the resource
  • Reject: Deny the sharing request

Control Level:

  • Full granularity over all sharing activities
  • Control over internal organization sharing
  • Control over external/public sharing
  • Maintain security and compliance standards

Access Points

Approval requests can be accessed from:

  1. The standalone Approval Requests page in the sidebar
  2. The Approval Requests tab within Tenant Settings

Getting Started as a Tenant Administrator

  1. Navigate to My Organizations in the main menu
  2. Select the appropriate option based on your task:
    • Tenant Settings for configuration
    • Agent Analytics for usage tracking
    • Audit Trail for activity logs
    • Approval Requests for managing sharing permissions
  3. Make your desired changes or review the information
  4. Save settings to apply changes to your organization

Best Practices

Security & Privacy

  • Regularly review the Audit Trail for unusual activity
  • Enable approval requests for sensitive organizations
  • Configure SSO for enhanced security and user management
  • Use Feature Controls to restrict data uploads/downloads based on your security policies
  • Disable external network access for agents in highly regulated environments

Agent Management

  • Set a default agent to guide users toward company policies
  • Use system prompts to enforce compliance guidelines
  • Monitor agent analytics to ensure alignment with business goals

Customization

  • Brand your tenant with your organization's logo and colors
